  Communications Committee Minutes

MARCH 21, 2007

Attendance - Committee members, Bliss, Bond, Farris, Hall were present as was staff member Claire Budd. Excused were Knudsen, Miller, Spitzer

Draft Report - The following changes, additions and deletions were made to the report:

. incorporate recommendations made at the March 7meeting and add:

- that all departments update e-mail messages daily

- that phone system be upgraded to be more user friendly

- that residents be given timely notification of emerging issues and those matters

which effect them by other jurisdictions

- expand capability for

- that P & Z sub-committee meeting times and locations be posted on city web-site

. delete extending speaking time at council meeting to six minutes

. delete sample comments section

. move survey responses to appendix using graph and reconfigured format

. focus conclusion section on communication

Bond presented a reformatted comment section.

The committee hopes to have the report completed no later than mid-April.

Next Steps - Farris will redo the graph folding the 3Y and 3N responses together. He will also work on the presentation of responses in non-graph form.

Bliss will prepare a second draft based on the committee’s actions during the meeting.

All committee members are asked to review the second draft carefully and make your suggested changes by going to “tools“ and clicking on track changes and then e-mail the document to all members of the committee.

Next Committee Meeting - The committee will meet again on Wednesday, April 4, at 7:00 p.m. in the lower level conference room of City Hall.

Committee Purpose/Goals/Outcomes

Purpose - Undertake a review of the city’s communication with the public.

Goals - . Assist in strengthening and improving communication between the city and the

public

. Increase understanding of how Kirkwood functions

. Provide a non-threatening avenue for citizens, council, and officials to

interact for the greater good of Kirkwood.

. Help citizens overcome reluctance to become involved in community issues

Outcomes - Recommendations to the city related to the purpose and goals of the project.
