  Communications Committee Minutes

February 7, 2007

Attendance - Committee members, Bliss, Bond, Hall, knudsen were present. Farris, Miller, and Spitzer were excused.

Survey Responses & Spreadsheet - 1,054 surveys have been returned. The spreadsheet, provided by Romona, will be used to record final survey results. Surveys were distributed among committee members to tally responses. Surveys will be distributed to excused members. Tallied surveys are to be returned to Lois by February 28.

Draft Comments for Report - Bob reviewed draft language highlighting common themes. He will provide the information to Dana who has agreed to draft the final report. Clyde Farris will be asked to analyze the yes and no responses to question 3. The purpose of the analysis is to determine what, if any, significant difference of opinion exists between individuals who do and those who do not attend City Council, board and/or commission meetings. Consideration should be given to categorizing communication as proactive, reactive, and interactive.

Lois distributed a summary of all communication concerns and suggestions that were listed in the committee's meeting summaries. They will be compared to survey responses. She is preparing a list of communication avenues employed by the city.

Report Format - draft outline of the committee's final report includes:
- Executive summary
- Introduction and background
- Committee findings
- Recommendations
- Attachments - the survey & results, the city's current communication avenues

Next Committee Meeting - The committee will meet again on Wednesday, March 7, at 7:00 p.m. in the lower level conference room of City Hall. The February 21 committee meeting has been cancelled to allow the committee time to tally survey results.

Committee Purpose/Goals/Outcomes

Purpose - Undertake a review of the city’s communication with the public.

Goals - . Assist in strengthening and improving communication between the city and the

public

. Increase understanding of how Kirkwood functions

. Provide a non-threatening avenue for citizens, council, and officials to

interact for the greater good of Kirkwood.

. Help citizens overcome reluctance to become involved in community issues

Outcomes - Recommendations to the city related to the purpose and goals of the project.
