  Communications Committee Minutes

JANUARY 17, 2007

Attendance - Committee members, Bliss, Bond, Hall were present. Farris, Knudsen, Miller, Spitzer were excused.

Committee Draft Comments - Copies of member’s draft comments on communication were distributed. Bob Hall will attempt to synthesize the material for review at the February 7 committee meeting. Lois Bliss will distribute drafts to absent members.

Survey Distribution - Claire Budd thanked the committee for identifying the communication gap for condo owners who do not receive any utility bills from the city.

Survey Spreadsheet - in process of being developed.

Survey Results - 106 surveys had been returned as of January 15. Each survey is dated, numbered, and divided into two categories - 3Y - those who answered yes to question 3 and 3N those who answered no. Jane Bond is transcribing all comments made on the surveys.

Additional Communication Suggestions - Promotion of web site - update front page of web site regularly with current/immediate news. Effective example was the information provided on ice storm. The city’s role in representing citizen interests to other governmental/regional bodies - When it is known that work will be done anywhere in the city by another governmental body or jurisdiction, the city should provide information as far in advance as possible that work will be done, by whom, for what purpose, and who to contact for further information. This is an opportunity for the city to be proactive and limit of misinformation.

Next Committee Meeting - The committee will meet again on Wednesday, February 7, at 7:00 p.m. in the lower level conference room of City Hall.

Purpose - Undertake a review of the city’s communication with the public.

Goals - . Assist in strengthening and improving communication between the city and the public

Increase understanding of how Kirkwood functions

Provide a non-threatening avenue for citizens, council, and officials to interact for the greater good of Kirkwood.

Help citizens overcome reluctance to become involved in community issues

Outcomes - Recommendations to the city related to the purpose and goals of the project
